Basic Institution Definition
It defines all the basic information about the school, its contact details, details about the head of the Institution etc. This also defines the information required for the identification of the Institution when the consolidation of multiple institution data is done centrally. The consolidation of the data with respect to schools follows the SIF standards. (Schools Interoperability Framework- a US initiated standard).

Course Definition
The basic long-term courses can be defined and they can have multiple years of study attached to them. For example, the primary school has four-years of study. The higher secondary course has two etc. Each course can have as many defined grades as required. Each grade indicates a term of study. This may be one year or less. Each grade can be further divided into classes. A Class is a unitary element of a grade in a course.

Definition of Multiple courses
The system offers the flexibility to offer multiple courses with in the same academic year and manage them independently. A student can take up multiple courses as per a set of defined restrictions. In case of the long courses spanning multiple academic sessions, rules for promotions from one grade to another can be defined. One institution can offer as many courses as needed. All courses are managed independently but have interdependence.

Student Admissions
EdSys has an extensive student admission process. This starts with the publication of the courses and the students applying for it. Facilitates conducting of the admission tests and create short listed students. This module also facilitates the fees management of new entrants etc.

Student record
EdSys has extensive student data record management facility. It keeps all the personal details of the student. In addition the contact information, information on parents, academics, reprimands, extracurricular activities etc. The data of the student is accessible by authorization only. The student can have read only access of his personal data. Any irregularities can be intimated to the appropriate custodians of the data.

Health & immunization records
The detailed medical records of a child are captured in the system. All immunization details are captured and appropriate exception reports generated. The system also provides the creation of additional fields for capturing any additional information. These fields can be configured as per the needs of the institution.

Emergency Contact
This is very critical information captured in the system, required for intimating the appropriate persons in case of an emergency. This information is captured and stored separately and will be available to the class teacher and all concerned.

Subject & Elective Group Allocation
EdSys has the facility to create course & grade specific subjects. These subjects can be allocated to the respective teachers & be assigned to the assessments methods. The system also allows the elective subjects to be defined & allocated to the students. The subjects & other activities can be configured to be in the assessment stream.

Achievements of Students
A student's meritorious achievements during term with the specific school or in others before, are captured by EdSys and used for identifying students with specific talents.

Student Portal
Each student has his own portal where all services authorized for access are available. In addition to accessing the services, the student can keep his personal information, personal diary, personal knowledge base etc. The accessories for the portal are provided through the software "KNOWS" which is a knowledge management system for academic institutions.

Parent/ Guardian information
Detailed Parent / Guardian information and the emergency contact details are also necessarily captured. The communication information determines the mode of communication with parent. The system has automatic communication facility for intimating the appropriate information to the parents / guardians. In addition, the system also provides multiple facilities for two-way communication between the parents and the respective teachers.

Teachers/Staff data
EdSys takes in all the required data about the teaching staff and other staff of an Academic institution. The information on the teachers is captured in detail. The capabilities of the teachers the academic and other pursuits of teachers are all captured. The engagement of the staff may be of many types including permanent staff, temporary, visiting faculty etc.

Teachers/Staff portal
EdSys helps teachers access the services that pertain to them through a personal portal. Activities like configuring the examinations, entering marks, looking up information etc, are possible through the portal. In addition, the portal forms the one stop access to all services assigned to the teacher. This also provides for the announcements, etc, to be directed to a group, or to a specific teacher.

Faculty Allocation
The faculty can be allocated to various activities according to the understanding capability of each. They can be allocated to specific grades in the respective courses offered by the institution. This helps in timetable creation. The faculty is also assigned to specific departments for ease of activity monitoring and access control.

Teachers/Staff Task allocation and control
EdSys has a task management system, which allows teachers and staff to be allocated to tasks by the person in the next higher level of the hierarchy. They can also allocate tasks to themselves. A hierarchy of Evaluators monitors the tasks and the appropriate feed back can be given.

Evaluation system
EdSys has an extensive evaluation system, which enables the multifaceted evaluation of the student. The promotion of students to the next level in a course is determined by the result of this evaluation.

Grading system
EdSys has an extensive configurable grade point allocation system. Multiple rules can be defined for arriving at a grade point for the student. The GPA system is built in as a standard process. There is a facility to create multiple grading systems and to apply them on multiple levels. There are also provisions to allocate an activity as a grading unit. Multiple weighted scales can be created. The grades are integrated into the promotion system and the assessment reporting system. The grades can be communicated to individual students or to their respective parents through e-mail or through the student portal or the parent portal respectively.
 
Internal Assessment
EdSys provides an extensive and flexible facility for internal assessment by teachers and other personnel. A subject has an assigned weight. The teacher may attach multiple evaluation activities like class tests, assignments, projects etc to a subject. Evaluation scales are allocated centrally for a subject of a grade in a course. The teacher may assess the performance through multiple methodologies. Other activities like participation in sports and games; etc may also be assessed in the same manner.

Other Assessment Activities
There can be other defined assessable activities, games, sports or cultural events. They are treated in the same way as subjects and used for the evaluation of the student.

Report Card Generation
A facility to generate report cards and print them in specific formats that are not predefined is also available. The required fields can be inserted into the user- defined format according to the course and grade. Formats can be generated and the report cards printed. The report cards can be routed for approvals in the report cards approval hierarchy.

Student attendance
Attendance can be taken in multiple modes. The data may be captured with respect to the periods, sessions, or academic days. It can be taken for the extracurricular activities as well and leave records maintained. Grade points can be attached on the basis of the number of classes attended. Attendance details of teachers and other staff are also captured and analyzed.

Seating Plan
The seating plan can be created for a class and the same can be stored for access by the students and respective teachers through their portals. The seating plan can be of any shape, enclosed in a rectangular set of rows and columns.

Change of Academic year
The data in an academic management system are basically of two types. Time dependent and the time independent. After the students are promoted to higher grades or pass out from a course, the system needs to be configured for the next academic session. EdSys has a detailed process to handle this operation. All the time dependent data is altered as per the new requirement through appropriate check lists.

Promotions
Students get promoted to higher grades or pass out from the course having multiple effects in the system. EdSys has detailed facilities for effecting promotions. Many rules and data elements are considered for promotion.

Time dependent data back up.
EdSys has the facility to back up all data that are time dependent at the end of an academic year or when a grade in a course is completed and the student moves to the next. An example of this data is the marks obtained by a student for the examinations conducted during an academic year for the grade in the course.

Access to previous course data
EdSys has a built in data ware house which stores all the data which are time dependent as well as other data elements. The data can be retrieved for analysis of the student performance in the past years or for such activities, which span more than one academic year.

Other Extra curricular training
Various agencies may be imparting training to students. These agencies need to be managed and their activities monitored. The system collates the information on the agencies, the responsible teachers, students, and the schedule of activities. It also manages any fees that are involved with the training.

Discipline and reprimands
Extensive details of the infringements into the code of discipline of the Institution and the reprimands meted out to the student are captured by EdSys. The incidents can be categorized into multiple levels and reports generated. Mentoring requirements are also detailed. There is provision to impose fines and transfer the collection of such fines through the institution's fee collection system.

Student House management
In schools, students are grouped into houses. EdSys has facilities to manage the activities with respect to these defined houses. Every activity irrespective of its type can also be defined as house activity. This facilitates complete control on the activity allocation and management. The points can also be calculated and the comparative statements generated.

Sports Activity
EdSys provides facility for managing all kinds of sports activities as well. It provides the facility to define the activities and allocate persons against it. The sports events are also managed through the system. The teams and related kits & liveries are accounted for in the system. Participation in sports activities internal and external to the Institution is also managed. The schedule of activities can be published and accessed through the respective portals.

Club activity
Many clubs exist in schools and their activities many be quite varied. EdSys provides basic management features like membership management, basic activity scheduling and publishing, event management etc. Facility is provided to host the club web pages and publish the activity calendar. This facility for web page hosting is the part of the Software system "Create"

Student Election & Voting
EdSys provides a facility to conduct student elections through the system. The elections may be directed to the group of students or to the whole Institution. The elections can also be conducted in two ways. One casting the votes through the student portal or casting the votes from designated computers with access rights. The results are automatically collated and published in the personal portals. The detailed version is a part of the software "Create" which is a Teacher-Student-Parent communication system.

Communication
EdSys provides the basic communication facility between the teacher and the Parent and the teacher and the student. This is done by means of e-mails. All reports can be sent to the respective parent through e-mail. Additional facilities are provided in the software system called "Create". This software application takes care of all types of communications and information exchange amongst the students, Teachers, Parents and the Institution.

Hostel
EdSys provides a basic hostel management feature. Room allocation, hostel fees collection, fines, etc. are taken care of. Hostel assets are also managed using this software. Detailed mess operations management will be added on in the next version.
 
Logistics
All information with respect to the logistics of students is managed through this module. The bus routes and the staff associated with it are captured. An operation schedule can be created. The distance to the various points and the fees computed based on the distance from school.

Time Table management
EdSys provides an extensive facility to define the teachers and the subjects for individual classes. The sequencing of classes is created using the externally integrated timetable creation software. Presently EdSys does not offer its own time timetable creation software but has integrated third party software.

Student transfers
The system offers facilities for transferring the details of the students to other databases through accepted XML standards. This technique is also used to amalgamate the data centrally for a centralized control of the activities. The student specific data is backed up in the system for any future use.

Institution Activity Calendar
The system provides the facility to create a calendar of activities. This includes many aspects like the courses offered, examination schedules, holidays and breaks, Sports and Games activities, special events, announcements etc. There is a provision to input any custom items in the calendar and publish it. Access to the calendar can be through the personal portals of the students or teachers or other users.

Fees Management
EdSys has a very detailed fee management system. The individual fee elements can be defined and collated for each grade in a course. The fees can be classified into recurring fees, one time fee etc. The fee bill for each month is prepared automatically and individual student's fees can be altered for accommodating the fee concessions, special fees etc. The fee collection may be done on a bill basis or on the latest bill with carry forward of unpaid fees. Provision to impose fines for late payment of fees is also provided

Library Management
EdSys has an extensive library management system. This is in line with major library management software and follows the set standards in the domain. It gives the facility to array out all operations like book procurement, sorting and storing, user authorization based issue, book reservation, fine management etc.

Parking Space Allocation
EdSys has the facility to allocate the parking lots on the Institution campus to students, the staff or guests. Each area is demarcated and can be allocated to specific groups of personnel. There is a provision to allocate a fee for the parking space and to be collected separately or through the monthly fees.

Student Locker Allocation
This facility takes stock of the lockers available to the students & their allocation. There is also a provision in this module to attach a fee for the usage. An exception list is also maintained for students who are barred from the usage of lockers. A fee can be charged for the usage of the locker & may be collected with the monthly fee bill.

Event Management
The system provides an adequate facility to manage events. The events, their scheduling and the related activities can be monitored through the system. The data on the prize-winners can also be accounted for.

Book Store
The bookstore in the academic institution can be managed effectively using EdSys. The system takes into account the texts and workbooks-required for each subject, for the respective grades in a course, and gives the total requirement. The bookstore can also sell other items over the counter. The price may be paid separately or via the fee bill.

Services and Service User Portal
A system manages scores of functionalities. And the access to these functionalities can be quite complex and cumbersome. In EdSys it is over come by defining the functionalities into services and assigning respective users to it. The accesses to these services are provided through respective user portals. Each user has a different portal content depending on their authorization.

Salary Module
A basic salary package is provided along with the system. Using this, salary elements can be defined and the respective tax components attached. The monthly salary bill can be computed with a bit of manual intervention if required.

Fixed Asset Management
Detailed data is collected on the fixed assets of the institution. The asset code can be generated and the location details captured. Asset movement can be monitored using the system. The details can be plugged into the accounting system

Basic purchase module
EdSys has a purchase module, which enables all the basic purchase operations required for the Institution. All the purchase operations & the vendor database can be centrally managed. The system provides the facility for the generation of comparative statements between vendors and the price variation reports.

Reports Writer and Reports
EdSys has very unique and exhaustive reports generation facility. A number of standard reports are provided. However as the data captured in the system is very large, the requirements users have may be quite varied. This has prompted the designers of EdSys to provide a reports writer, which automatically generates a large number of reports based on multitudes of rules configured by the User.

Duty Roster
EdSys provides the facility to make duty rosters for various activities including the library, stores, and bus trips, student's activities etc. The roster can be published in the respective portals of the individual user. The creation of the roster can be distributed as per administration of the authorization of the service.

Internal Mailing
Internal mailing services are provided in the system for both the transmission of the alerts as well as the passing of information between the users. The mailing system does not allow sending external mail. Both individual mails and group mails can be sent using the mailing system.

Store & Inventory Module
This module allows the creation of the warehouse/store for keeping various items required for the Institution. The materials can be taken into each warehouse or store after inspection and the location details entered. In-depth stock reports can be generated.

Basic Accounting
EdSys provides the basic accounting package for managing the accounts in an institution. However, this is not for conducting exhaustive accounting process. There is a provision for exporting the accounting data to other accounting packages through XML technologies.
