WHire BULK is aimed at facilitating end to end processes in bulk recruitment of labourskilled/semi skilled emplyees. It is designed for a Principal recruiter engaged in recruitment for multiple companies in multiple countries. The Principal may have branches or labour supply Agencies in various countries.
This multi-faceted, multi-lingual, configurable, process driven software encompasses all dimensions of recruitment including demand letter and job splitting, Resume scrutinising and approval, candidate availability confirmation, selection process, offer issue, Medical test, police and other verification, and travel.

WHire Bulk is designed for ease of operation. There are predefined services preconfigured against a role. However, the services can be redefined against a specific user. All activities, information and communication are accessed through the personal portal of each user. Individual portal will be unique due to differences in authorizations of activities, This ensures data security and access restriction.

| Principal |
The principal is the organisation who engages the WHire - Bulk system to carry out the recruitment activities. The Principal has a set of users who are preconfigured with services. The Roles are - The CEO, Sales Person, Customer Executive, Head of Operations, Finance Executive, and Branch Executive. |
| Customer |
Customers are the organisations who request the Principal to conduct bulk recruitment. There will be a primary contact person and other persons who are part of a work flow. |
| Branches / Agents |
Principal gets the resumes from its recruitment branches in multiple countries or from labour supplying agents. They are not treated as a part of the Principal's organisation as they may have financial deals with the Principal. The agents have close interaction with candidates and has extensive role to play in recruitment. |
| Selection Process Enablers |
The system allows the selection process to be conducted by an external agency. The agency can define the selection process and implement them after approval from the customer. They may also be involved in issue of offer letter to selected candidates. |
| Candidates |
Candidates have access to the system for putting in their resume against a specific skill set or job category. The system also provides access to information pertaining to the individual candidate. |
| System Administrators |
These are the employees designated to configure the system and are responsible for WHire base configuration. |
| Medical Institutions |
Approved medical institutions have the facility to access the system and input the details of the medical tests carried out and the result of the tests. |
| Travel Agents |
The travel agents have access to the system to provide ticketing quotes and once finalised view visa details and issue Tickets. |
| Background checking agencies |
The system supports access fro background checking agencies for getting and putting in information of candidates with respect to ones antecedents. |

Principal is the organisation which uses WHire BULK for providing recruitment services to the customer through other services providers like the Agents, selection agencies etc.

| The CEO |
The CEO is the head of the organisation and will have access to all activities and reports in the system. However, the CEO has only read permission and will not be able to change any information dealt by another users. Only one person can be assigned the role of a CEO.

| Sales Persons |
The sales person interacts with the customers and brings in the enquiry or the demand letter for the candidates. He has the option to get feedback on the enquiry from the agents in different countries which can be given to the customer and earn further goodwill.

| Customer Executives |
This role is to interact with customers for resume approval, information transfer on Work permit, Visa etc. Carry out all jobs of the customer in case the customer needs assistance.

| Heads of Operations |
There can be multiple Heads of operations for various locations or in the same location. He has multiple customer and Branch Executives working under him. Activities can be configured to be approved by the Head of operations. All activities of the Customer, Branch Executives etc. can be viewed by him.

| Finance Executives |
Finance Executive is responsible for the billing to the Branches or Agents. The billing and financial transactions are not under the purview of WHire - Bulk. However, the billing information sans the amount will be shown in the system and the Finance Executive gives approval for the Agents/ Branch to view the work permit or Visa information.

| Branch Executives |
All communications with the Branches or the Agents are carried out by the Branch executive. This includes the initial scrutinising of the resumes, negotiation with Branches on financial terms, allocation of visa & work permit information etc.

The customer is an organisation who entrusts the Principal to carry out the bulk recruitment as per a demand letter. The customer can have multiple types of users, such as CV scrutinising officer, Approving Officer etc. All activities of the customer can be carried out by the respective Customer Executive. However, there is traceability built in. This is done to avoid any stoppage of work /process flows in case a customer has difficulty in using the system.

This is to ensure the process continuance in case the familiarity or the facilities are adequate for the Agents to use the system.

This goes through a process of approval with the Head of operations with adequate understanding of the financial relationship between the Principal and the Branch or Agent. |

The resumes submitted by the Agents are reviewed by the Branch Executive and there after by the customer Executive. The customer Executive also fetches relevant resumes from the data base. The resumes are pre-approved by the Customer with the portions of resume hidden and then fully after the viewing in full. The availability of the candidates is also confirmed once approved. |
| Selection Process creation |
The system enables multiple selection elements to be created and attach to a job. The required parameters for each element can be configured with respect to the agencies, to conduct the selection processes, locations, schedule of events and the candidates for each of the elemental process. |
| Selection process |
The selection process can be conducted by either the customers themselves or by an external agency, including the Principal. The selection process includes definition of process steps, the team to conduct, the coordinator etc. The process is formulated and the schedules of events are also attached to respective event at the respective location. The section process will also have details on the activities and the measurement points. |
| Offer Process |
The system provides facilities to create offer letters against each job. The offer letter can be printed out in predefined formats and issued by the authorised person. Alterations for an individual candidate are also possible through an approval process. |
| Medical Test |
Respective medical forms can be created and attached to a specific job. These forms are accessible to the approved Medical Institution and they will be able to enter the data into these forms and certify the print out. Hard copies can be scanned and kept in the system. |

Work permit and the Visa information are compartmentalised for access by the various Agents or Branches. The customer or the Customer executive inputs the information and after authorisation by the Finance Executive is distributed by the Branch Executive. The work permit and the visa information has a bearing the results of Selection process, Back ground checking, Medical test, Police verification, Governmental clearance etc. The dissemination of the information to branches/Agents depends on the financial dealings between the Principal and the Branches/Agents. |
